Which Online Fax Service is Right for You?
If you have already recognized the many benefits of online faxing then you may be in the process of looking at the many different services and price plans on offer. When you are choosing an online faxing plan it is important that you consider a number of options to ensure that you get the best plan for your needs.
Costs
Make sure you visit the provider’s website and check carefully for all of the costs involved in setting up and running an online faxing account with them. Check for any hidden costs such as start up, cancellation or overage fees. All online account providers restrict their services in a number of ways to maintain the integrity of the system, so make sure you check how much you will be charged if you go over these restrictions, such as page limits per month (usually around $0.10 per page) or the online storage period (usually max of 30 days). Many online account providers do not require you to sign a contract to use their services so cancellation fees should not apply if you want to close your account, however if you do choose a provider that requires you to sign up to a contract make sure you check the duration of that contract (typically 6-12 months) and how much it will cost if you want to end your contract early.
Page Limits
As mentioned above all online account providers limit the amount of faxes each account holder can send and receive every month in order to maintain the integrity of the system for all of the users, and the amount of pages you can process will depend on your individual price plan. Most of the cheaper plans offer between 180 – 300 pages of fax per month, and this should be more that enough for most users, but if you do need to send a lot of faxes per month then you should be looking at services such as MetroFax, who offer a low cost plan at $12.95 that gives you up to 1000 pages of fax per month. Another issue to look out for with page limits is exactly how much of your limit is divided into sent and received faxes. Some account providers do split monthly page limits into a certain amount of incoming and outgoing faxes only, such as 100 sent and 200 received faxes, and so if you do need to process more outgoing than incoming faxes (or vice versa) then you will need to check that your price plan suits your requirements.
Security
Because you will be sending data over the Internet with online faxing you do need to ensure that your provider is offering the latest up to date SSL encryption protection, which ensures the security and privacy of your information as it is being transmitted. This is essential if you need to send or receive any confidential or private faxes, so you make sure you check each online fax provider’s security policy carefully. Also check your provider’s privacy policy as well, as this will tell you how they intend to treat the information they hold in their care, such as your bank details, telephone numbers and email addresses, and make sure they will not be passing any of this information on to third parties.
